Overview of Medical Professional Services

In order to insure that our present and potential clients can focus on their success in using our service, we have established the following procedures.

How Our Service Works

Digital Transcription Inc. utilizes a digital dictation system that allows your staff to call into our office using a toll free number, 24 hours a day 7 days a week, from any telephone in the nation to do dictation. The second you are finished dictating, the dictation is in our office ready for transcription. After the dictation is transcribed, we will modem, e-mail or deliver it by FTP to your office to be printed out.

Consider these benefits in using the dictation and transcription services of Digital Transcription Inc.

  1. Cost. At 9 3/4 cents per 65 character line, you cannot do it in-house cheaper. When you add salary, Social Security, Federal and State Workers Compensation, Medicare, medical insurance, vacation and sick pay -- 9 3/4 cents a line is far less expensive that you can do it yourself.
  2. Speed. Using our toll free number, dictation is done from any telephone directly into the digital dictation system in our office from any telephone in the nation, you never have to worry about getting tapes back to the drop off point in order to get them picked up and transcribed. Work dictated today is returned tomorrow, instead of picked up by the transcription company tomorrow, and returned "who knows when."
  3. Equipment. Broken equipment and poor tapes can make dictation very arduous. However, if you don't use dictation equipment or tapes, that ceases to be a problem you have to live with. With us, of course, you don't have special equipment or tapes.
  4. STAT. Do you have priority work needing to be done today, not someday? We have a priority code that will have it completed and in your office in 2 hours or less.
  5. The Sequence in Doing the Work
    1. The doctor calls into our digital dictation system using a special access code.
    2. Dictation is recorded on our digital system making it available to us immediately upon completion of dictation.
    3. The typist can immediately begin to transcribe dictation, instead of waiting for a day to pick up the tape.
    4. We immediately send transcribed dictation to the client's computer through their telephone via modem.
    5. The secretary prints out transcribed dictation, which is immediately available to the physician for filing.

In Summary: Does the dictation, drop off, pick up, transcription and delivery process just take too long? Is the quality less than what you would prefer? Dictate on our system today, and have the accurate transcript quickly completed and in your office.

Working Relationship: Responsibilities of Each Party

  1. Digital Transcription Inc. agrees to provide medicatl transcription services for you, the Client.
  2. It is the responsibility of Digital Transcription Inc. not to violate any confidence of the patient or their family through indiscriminate discussion pertaining to patients, their treatment, diagnosis or progress. DTI will use due care to hold all knowledge of the medical records of the Cleint in the strictest confidence.
  3. The Client is encouraged to organize his/her thoughts prior to dictation, speak clearly into the telephone, minimize background noise, and, if possible, spell out patient names, patient numbers, doctors names, new drugs, and addresses in his/her dictation. However, providing us with a daily census (electronically or by fax) eliminates the problem of spelling patient names and recording patient numbers correctly.

Errors & Omissions

It is understood and agreed that the Client will hold harmless Digital Transcription Inc. for any inaccuracies, errors or omissions of the transcription provided. It is recognized that DTI is a typing service and that they are not medical professionals. It is understood that the signature of the attending physician or medical professional on the transcription is the approval of the Client on the content of the material. It is the responsibility of the Client to return all inaccurate transcription to DTI to be redone at no charge to the Client.

Reports will be transcribed according to the rules based on the norms of correct English language and medical terminology usage.

Standard Dictation

By Standard dictation, we mean dictation that is clear and includes all the information you would require in the transcribed document. Standard dictation also means one day of dictation per one calendar day.

STAT

Stat work is normally transcribed and returned within two hours. Stat transcription is charged at double your regular rate. To have your work treated as stat, you must do two things. Number one, you must sign-off using the stat key (phone key #8). Number two, someone must call or fax the job number. You may also request an additional access code which eliminates the above steps, as dictation done with that access will always be treated as stat.

Fees and Payment

  1. The Client is expected to pay DTI the agreed rate in a timely manner for providing medical transcription services.
  2. Billing is done every two weeks. Terms are net 15 days. The Client is requested to post the paid bill quickly. This is necessary to allow DTI to pay the typist in a timely manner. There is a $50 minimum for every two week billing period.
